Privacy Policy

This policy explains how AlwaysOn Front Desk ("AlwaysOn Front Desk," "we," "us") handles personal information when you visit alwaysonfrontdesk.com, buy our service, or chat with an assistant we run for one of our clients.
1. Information we collect
- When you visit our website: We don't use tracking cookies or advertising pixels. We use Cloudflare Web Analytics, which gives us aggregate statistics (such as page views and referring sites) without cookies and without identifying you. Our hosting provider processes technical data, such as IP address and browser type, to deliver and secure the site.
- When you contact us: If you email or text us, we receive your message, email address or phone number, and anything you choose to include.
- When you buy: Payments are processed by Stripe. We receive your name, email, billing details and payment status, but not your full card number. Stripe's privacy policy is at https://stripe.com/privacy.
- When you complete onboarding: Our onboarding form is hosted by Tally. We collect the business information you provide (business name, contact details, services, hours, prices, FAQs, booking link, and where leads should be sent).
- When you use our demo chat: Messages you type are processed by our chat platform provider and the AI services it uses, and the chat window may store a small amount of data in your browser to keep the conversation working. Please don't enter real personal or medical information in the demo.
- When you chat with an assistant on a client's website: We collect what you choose to share, typically your name, phone number or email, a short description of what you need, and the chat conversation. We process this on behalf of that business and send it to them so they can follow up. That business's own privacy practices also apply.
2. Information we don't want
Our assistants are not designed to collect health or medical information, insurance details, payment card numbers, Social Security numbers or other sensitive information. Please don't share it in any chat. Our service is not a HIPAA-compliant system.
3. How we use information
To provide, operate and improve our service; to deliver leads to our clients; to communicate with you about your account, onboarding, changes and support; to process payments; to keep our services secure; and to comply with legal obligations. We don't use chat conversations for advertising.
4. How we share information
We don't sell personal information, and we don't share it for cross-context behavioral advertising. We share it only:
- with the client business whose assistant you chatted with;
- with service providers that help us run the service (website hosting, payment processing, online forms, our chat platform and its AI model providers, email, and text-message delivery), only as needed to provide their services;
- if required by law, or to protect rights, safety and security; or
- in connection with a sale or reorganization of our business, subject to this policy.
5. Data retention
We keep client account and billing records while the account is active and as long as required for tax and legal purposes. Leads and chat transcripts are kept while the client's subscription is active and for up to 90 days after cancellation (so we can provide a lead export on request). After that they're deleted, subject to our providers' backup cycles.
6. Security
We use reputable providers and reasonable safeguards to protect information. No method of transmission or storage is 100% secure.
7. Your choices and rights
You can ask us to access, correct or delete personal information we hold about you by emailing emma@tryalwaysonfrontdesk.com. If you chatted with an assistant on a client's website, we may forward your request to that business, because it controls that information. Depending on where you live (for example, California), you may have additional rights under state law, and we won't discriminate against you for using them.
8. Children
Our website and service are meant for businesses and adults. They're not directed to children under 13, and we don't knowingly collect their personal information.
9. Changes
We may update this policy. We'll post the new version here with a new "Last updated" date.
